Refund & Cancellation Policy
This policy explains how cancellations and refunds are handled for custom software and technology projects.

1. Nature of our services
Because our services involve custom development work carried out specifically for each customer, cancellation and refund arrangements work differently from off-the-shelf products. This policy explains how we approach them.
2. Cancelling before work begins
If you cancel a project after accepting a quotation but before any work has started, any deposit paid may be refunded in full, less any non-recoverable third-party costs already incurred on your behalf (for example, a domain or licence purchased at your request).
3. Cancelling once work has started
Once work has begun, you remain responsible for payment for the work carried out up to the point of cancellation. Where payment is structured in milestones, this generally means payment for any milestone that has been completed or is in progress.
Deposits and milestone payments already made are not refundable once the corresponding work has been carried out, as they represent payment for time and resource already committed to your project.
4. Custom development projects
Custom software, once built to your specification, cannot generally be resold or reused for another customer. Refund requests for completed, delivered work will be reviewed on a case-by-case basis and are not automatic.
5. Requesting a refund
If you believe a refund is due — for example, because agreed work was not delivered or does not meet the specification agreed in writing — contact us at sales@examcertify.co.uk with details of the project and your concern.
6. Refund review and processing
We will review each refund request individually, taking into account the work completed, the terms agreed for that project, and any relevant correspondence. Where a refund is agreed, it will be processed back to the original payment method within a reasonable period.
7. Non-recoverable third-party costs
Costs paid to third parties on your behalf and instruction — such as domain registrations, software licences or third-party API fees — are not refundable once incurred, as these are paid onward to the relevant provider.
